For Supervisors
The Student Employment Office (SEO) is responsible for developing policies and procedures to administer Columbia College Chicago Student Employment Programs. The SEO also provides information and workshops to student employees and supervisors concerning student employment at Columbia.
Student Employment Policies & Procedures
Supervisors of student employees are responsible for adhering to all published SEO policies, procedures, and forms located on IRIS, the college's administrative site.
Student Employment Job Application
When students complete an application, we screen them to verify they meet all required general eligibility requirements to work on campus. Any student you interview for a work-aid, federal work study (FWS), or part-time job must have a copy of their job application from the SEO.
Work Authorizations
Complete a Work Authorization form when you hire a student who will be paid from a student wage account (5601-5695). Students must come to the SEO with the authorization form to complete payroll processing before they start working. Complete the current year's Work Authorization for work-aid students and FWS Work Authorization for federal work-study students. Complete a Part-time Work Authorization for Students for all other student employees hired under the 56xx account. Please do not allow students to start working until we confirm they have been processed by payroll.
Student Confidentiality Agreement
All Columbia College student employees are required to sign a confidentiality agreement to comply with school policy.
Termination
Inform us when a student stops working for you. When you fire a student, you must have documentation of your verbal and written warnings to the student. You are required to send us a Termination form when a work-aid or federal work-study student stops working prior to the end of the academic year. For part-time students, send us a Termination form if the student stops working prior to the "termination date" on the student's Part-time Work Authorization for Students.
Job Performance Evaluations
Evaluation forms are mailed to supervisors of work-aid and federal work-study students at the end of the spring semester. Return the evaluation forms to the SEO on the stated deadline to ensure a rehired student can begin working for the summer.
Rehire Form
We will email you a Rehire Form for students you indicate "yes" to rehire on the Evaluation form. The student must be enrolled for summer of fall and eligible to work. Return the evaluation forms to the SEO on the stated deadline to ensure a rehired student can begin working at the start of the summer work period. Do not allow your student to begin working for the summer semester until you receive a Rehire Form.
